👋 About ​the ​Team

The ​Infra Team ​is responsible for the ​overall ​infrastructure that ​enables Nota’s internal ​services and ​AI ​systems to ​run ​reliably, ​including servers, GPUs, ​storage, ​networks, cloud environments, ​and ​operational ​systems.

As the team’s ​scope continues ​to ​expand, the ​importance of ​operational ​support functions—such as ​asset management, ​procurement, contracts, documentation, and SaaS administration—has grown alongside technical responsibilities. This position is designed to provide structured support for these foundational operations, helping the team work more efficiently and effectively.



📌 What You’ll Do at This Position

In this role, you will take practical ownership of the Infra Team’s operational support system. This is not simply an administrative assistant role—you will be involved in the foundational work that keeps the team organized and running smoothly, including asset, cost, contract, documentation, and operational history management.

Through this work, you will help the organization operate in a more structured and sustainable way.




✅ Key Responsibilities

  • Manage IT assets and software licenses
  • Track the inventory and movement of IT infrastructure assets such as GPUs, servers, and Edge AI devices
  • Update asset lists, inventory ledgers, and documentation related to current holdings
  • Manage software license status and renewal cycles for services such as cloud platforms and security solutions
  • Support budget and procurement operations
  • Assist with purchase approval and payment processes for server components, equipment, and IT services requested by engineers
  • Support monthly invoice verification and expense processing for IDC costs, cloud usage, communication fees, and other recurring expenses
  • Help maintain departmental budget records and support the preparation of Budget vs. Actual reports
  • Support external vendor and contract management
  • Serve as a basic communication point of contact for external partners such as equipment vendors, ISPs, and maintenance providers
  • Manage expiration dates and renewal schedules for key agreements such as maintenance contracts (SLA) and service contracts
  • Organize contract and operational history records by vendor
  • Provide day-to-day administrative and operational support
  • Archive operational documents such as IT infrastructure diagrams, incident reports (post-mortems), and regular inspection reports
  • Support requests and maintenance for SaaS tools used in development and operations
  • Manage onboarding/offboarding-related accounts, software access, and operational checklists
  • Handle other recurring administrative tasks that support team operations



✅ Requirements

  • Ability to systematically organize operational work such as budgeting, procurement, contract management, and asset administration
  • Strong communication skills and the ability to collaborate smoothly with a wide range of stakeholders
  • Proficiency in tools such as Google Workspace, Excel/Spreadsheets, Slack, and collaborative documentation platforms
  • Basic operational support capabilities, including documentation, schedule management, and request coordination
  • Strong attention to detail and the ability to manage repetitive and detail-oriented tasks accurately
  • No restrictions on domestic or international business travel



✅ Pluses

  • Experience using AI tools to improve work efficiency, such as for documentation, summarization, or information organization
  • Experience improving administrative or operational workflows from an AX (AI Transformation) perspective, or introducing new tools to enhance team operations
  • Experience quickly learning and utilizing various collaboration and automation tools
  • Relevant experience in IT asset management, procurement operations, contract administration, business support, or team assistant roles
  • Experience handling recurring operational expenses such as cloud usage fees, IDC costs, or communication expenses
  • Experience managing SaaS accounts and software licenses
  • Experience supporting IT or engineering organizations
  • Experience multitasking and adjusting priorities in a fast-changing environment
